Yamato-Esulon Co., Ltd. (hereinafter referred to as “Yamato-Esulon”) uses personal information provided by our customers and business partners to develop and provide products and services that meet the needs of our customers and business partners. We take the necessary security control measures over personal data to prevent leakage, loss, or damage of personal data we have received, and we will endeavor to comply with the Act on the Protection of Personal Information (hereinafter referred to as “Personal Information Protection Act”), and to appropriately manage and protect personal information in accordance with these guidelines.

We retain, manage, and use personal information by asking our customers and business partners to provide us with their personal information, and by acquiring personal information of employees and others to the extent necessary to carry out our business operations.

When acquiring personal information, we will clarify in advance the purpose and scope of use of such information, inform the person of such purpose and scope of use along with the contact information for inquiries, acquire personal information to the extent necessary to achieve the stated purpose of use, and take measures to ensure that such information is not used for any purpose other than the stated purpose.

3.Appropriate Management and Protection of Personal Information
We will manage the personal information of our customers and business partners that we have acquired using appropriate methods, and will not disclose nor provide personal information to any third party without the prior consent of the person concerned.

However, this excludes the following cases:

5.Ensuring the Accuracy and Security of Personal Information

We will maintain accurate and current personal data in our possession, take measures to prevent leaks, loss, or damage of personal information (“leaks, etc.”), and implement corrective measures in the event of such occurring.

Should leaks, etc. of personal information that may harm the rights and interests of our customers or business partners have occurred or are likely to occur, and one of the following cases applies, we will promptly report the incident to the Personal Information Protection Commission and notify the individual concerned using an appropriate method.

Cases of leaks, etc. to be reported are as follows:

When we receive from an individual whose personal information we retain a written or oral request to provide notification of the purpose of use, or to disclose, correct, or append retained personal data related to personal information that identifies the individual concerned, we will disclose or correct the personal information after confirming the individual’s identity through proof of personal identification or other means.

7.Deletion, Suspension of Use, Erasure
When we receive a request regarding retained personal data from a customer or their representative for deletion, suspension of use, or erasure of personal information that identifies the customer, we will honor this request only if the following conditions are met:

  1. [1] When it is discovered that a violation of the Personal Information Protection Law has occurred, such as non-disclosure or deviation from the purpose or scope of use of personal information, or acquisition of personal information by improper means, etc.;
  2. [2] When the personal information in our possession is likely to harm the individual rights or legitimate interests of the individual concerned.

The procedures for requesting deletion, suspension of use, or erasure shall be in accordance with [1] to [3] of Section 6 of this Privacy Policy.

However, pseudonymized information is not subject to this deletion, suspension of use, or erasure as well as the request for disclosure, correction, etc. described in Section 6.

Pseudonymized information is information that cannot be used to identify a specific individual by itself unless it is collated with other information that can identify the individual, for example, by replacing the name in the personal information collected with a pseudonymized ID and creating a database of such information. We do not use pseudonymized information for any purpose other than for research and development data.

9.Compliance with Laws and Regulations

In the handling of personal information we will comply with all applicable laws, regulations, national guidelines, and other standards, as well as industry guidelines.

We reserve the right to amend this Privacy Policy of Yamato-Esulon Company at any time in response to amendments to applicable laws, regulations, guidelines, etc.

 

10.Management of Contractors
We may outsource the handling of personal information, etc. to outside parties to the extent necessary to carry out the purpose of use. The following procedures will be taken in these circumstances.
